What the engine knows before it writes a word

A worked example: one food-distribution prospect, the research the system pulls on them, the rules the writer runs under, and the four emails that come out the other side. Read the emails first if you want. The machinery behind them is the point.

Dated worked example, not a service proposal

This document illustrates the research and writing process as prepared in July 2026. It is not a customer-result claim or a promise that every data source and capability is included in every engagement. We confirm sources, checks and deliverables with you before launch. See our current onboarding process.

Process example: writing rules, word limits, permitted claims, research signals and a review-and-rewrite step show how we turn prospect context into messages. The examples below explain the method; the actual campaign uses the sources and checks agreed for your business.

Composite: the prospect company, its people, and its signal values are illustrative. Ridgeline Provisions is not a real company. Signal values are illustrative inputs for the sequence, not verified findings about a real prospect.

Not sent: these emails were generated for this document. Nothing has gone to anyone.

01

The sender profile, loaded once

Before any prospect is researched, the system holds a profile of you. It is loaded into every email the engine writes, and it is the only source of permitted claims about TEC. If a fact is not in this profile, the writer is forbidden from asserting it.

Below is what we could assemble from your public material. The rows marked confirm are the ones we would sit down and get right with you before a single send.

Off. The engine can read a prospect's email-authentication and web hygiene, and for IT clients it uses those findings as openers. A sanitation provider cannot act on a DMARC record, so the switch stays off and the finding never reaches an email.

One prospect, and everything we would know about them

The engine does not write to a list. It writes to a dossier. Below is what a fully researched food-distribution prospect looks like at the moment the writer is handed the pen.

Each row carries its source and its age, because a claim without provenance is a claim the writer is not allowed to use. Rows marked live are collected by the system today. Rows marked niche are the custom sources we would build for food distribution during onboarding, the same way we build them for every vertical we run.

The part that matters

Everything above is gathered before the decision to write. Companies that fail the fit gate are dropped without ever costing a research call or a send. The intelligence comes first, and the outreach is what is left over once the intelligence has done its filtering.

03

Turning a dossier into four different conversations

A sequence fails when four emails say the same thing four times. So each step is assigned its own angle, drawn from a different signal, with a defined job in the arc. No step is allowed to reuse a previous step's hook.

Step Day Job in the arc Angle Built from
1 1 Observation, then a challenge. No pitch. The 61-day supervisor gap means the existing crew is carrying both the shift and the audit prep. S-2, S-3, S-6
2 4 Validation. Deepen with new evidence, one clause of positioning. The Q4 recert and Q1 cold-storage opening are separate planning milestones at different sites. S-4, S-5
3 9 Fresh thread. A different failure mode entirely. Auditors open the record before they walk the floor. Short crews clean fine and document late. S-5, S-2
4 16 Honest exit. Nothing about us at all. Acknowledge the quarter they are about to have, and step back. S-4, S-5
The rules the writer runs under for a VP of Operations

Tone and length are calibrated to seniority, because a VP reads differently than a QA coordinator.

  • Length ceiling. Steps 1 and 2 stay under 110 words. Steps 3 and 4 under 90. When a research signal and the word ceiling conflict, the ceiling wins and the signal gets cut.
  • Collective voice only. "We" and "our", never "I built" or "I noticed". The email is from a company, not a persona.
  • One ask. A single closing question, phrased so it can be answered yes or no in one line. No calendar links in the body, no "thoughts?", no thirty-minute requests.
  • Plain text only. No bold, no bullets, no images, no em dashes. Em dashes in particular are the clearest tell that a machine wrote it.
  • They outnumber us. "You" and "your" must outweigh "we" and "our" at least two to one.
  • No invented anything. No made-up case studies, percentages, client counts, pricing, employee numbers, or regulations. If a claim is not in your proof inventory or this prospect's dossier, it does not get written. A credible email with no statistics beats a fabricated one every time.
  • No named standard unless it applies to them. Naming a regulation that does not govern a prospect is the fastest way to lose an expert reader. A standard is only citable when the dossier says it applies to that facility.
04

The sequence

Four emails to one person. Every claim carries a marker back to the signal that produced it. Nothing in these emails exists that the dossier did not supply.

Step 1 · Day 1Observation

sanitation supervisor

To: Dana Whitfield, VP of Operations, Ridgeline Provisions

Your 2nd-shift sanitation supervisor role has been open since May.S-2 That usually means the crew you've got is covering the shift and the audit prep at the same time.S-6

At most distribution centers we walk into, that's where documentation starts slipping. Not the cleaning. The paperwork behind it.

Is your Hagerstown crew carrying both right now?S-1

S-2Open req, dated. Not "I saw you're hiring" but the specific role and the specific month.
S-6The in-house-crew read, stated as a consequence rather than a claim. We never assert we know their staffing model.
S-1The named site. Specificity in the closing question is what makes it answerable.
56 words subject 21 chars you:we 5:1 asks 1 links in body 0

Why it opens there. Step 1 is not allowed to say anything about TEC. No years in business, no guarantee, no service list. The reader does not need to know who you are yet, they need to recognise their own Tuesday. The pitch is held back until step 2 and even then it is capped at a single clause.

Step 2 · Day 4Validation

q4 recert

To: Dana Whitfield, VP of Operations, Ridgeline Provisions

Following up on the sanitation coverage question.

Hagerstown's SQF recert falls in Q4,S-5 and the Chambersburg cold-storage addition opens in Q1.S-4 Those are separate milestones at different sites, each with its own sanitation plan and documentation to prepare.

The audit-pass guarantee we write into contracts exists for exactly this window.P-1

S-5New evidence, not a restatement of step 1. The thread continues, the hook does not repeat.
S-4The expansion, used for its operational consequence rather than as congratulations.
P-1Proof inventory item, cited without embellishment. One clause. It is not allowed to become a feature list.

Step 3 · Day 9New thread

the binder

To: Dana Whitfield, VP of Operations, Ridgeline Provisions

Different thread.

When an SQF auditor sits down at a DC, the first ask is rarely the floor. It's the record. Master sanitation schedule, training sign-offs, corrective actions, dated and signed.S-5

Crews that are short a supervisor tend to clean fine and document late.S-2 The floor passes. The binder is what costs them.

How is that tracked at Hagerstown today, paper or system?

S-5Same signal as step 2, deliberately used for a completely different argument. The standard is only named because the dossier says this facility is certified to it.
S-2The staffing gap reframed as a documentation risk rather than a labour one.
63 words subject 10 chars you:we 1:0 asks 1 closing type binary

The closing question is doing work. "Paper or system" is answerable in two words by someone standing in a warehouse aisle with a phone in their hand. That is the entire design goal of a cold-email CTA. It is not asking for thirty minutes, it is asking for a reflex.

Step 4 · Day 16Exit

Dana

To: Dana Whitfield, VP of Operations, Ridgeline Provisions

No reply needed on this one.

You've got a Q1 cold-storage opening at Chambersburg and a Q4 recert at Hagerstown.S-4S-5 Those are two different planning milestones, and this may not be the right time for another conversation.

Door's open if that changes after Q1.

S-4 S-5The only content permitted in a step 4 is something about them. Not one word about TEC, the services, the guarantee, or the years in business.
47 words subject first name mentions of us 0 asks 0

Why step 4 gives up. The breakup email is the highest-replying step in most sequences, and the reason is that it is the only one asking for nothing. The moment it slips a pitch back in, it stops working. So the rules ban it outright: no company mention, no differentiators, no "closing the loop" subject line, no last-chance framing. It reads the room and leaves.

05

The signature, and why it looks like that

The writer never composes a sign-off. It is banned from the body entirely, and any closing it tries to sneak in gets stripped. The signature is applied afterwards, identically, to every step of the sequence.

That separation matters for two reasons. The body stays purely about the prospect, and the signature stays consistent no matter which mailbox sends it or which rep's name appears.

What gets caught before it ships

Every sequence is audited after it is written and before it can be sent. This is the part that is hard to see from the outside, so here is a real failure mode: a first-pass step 2 that did not survive.

Step 2 · first passBlocked

Hagerstown's SQF recert falls in Q4, and the Chambersburg cold-storage addition opens in Q1. Those are separate milestones at different sites.

We helped a 200-person distributor in Pennsylvania cut sanitation labour costs 30% while passing their BRC audit first time. Their ops team got about 12 hours a week back.

With FSMA 204 traceability deadlines hitting in January, most DCs your size aren't ready.

Worth exploring?

fabricated_case_study No such client exists in the proof inventory. The writer generated a plausible-sounding reference because the paragraph needed one. This is the single most common failure in AI-written outreach and it is a hard block.
fabricated_stat "30%" and "12 hours a week" appear nowhere in TEC's approved claims. Invented numbers survive right up until a prospect asks about them.
regulation_not_in_dossier A named rule and a deadline attached to a prospect whose dossier never established it applies to them. A VP of Operations in food distribution knows their own regulatory calendar. Getting it wrong ends the conversation in one line.
banned_cta "Worth exploring?" is on the blocked list for senior operators. Too vague to answer, too soft to act on.

What happens next. The auditor flags the offending step only, and only that step is rewritten. Steps 1, 3, and 4 were clean, so they are preserved untouched rather than regenerated, which keeps the narrative thread intact. The rewrite is handed back with the specific violations attached, then audited again. If a step cannot be written cleanly, the lead is pulled from the campaign rather than sent something weak.

That last point is the one worth holding onto. The system is built to not send when it cannot send something true.

07

From approved email to a sales conversation

This example covers managed outbound email. We review the audience and messages with you, prepare the sending setup, then start a controlled batch once the checks and approvals are complete.

We monitor delivery and responses and hand interested replies to your team with context. Your team handles sales conversations, qualification and any meeting arrangements. Calls, LinkedIn activity, social publishing and visits are not included in the email service shown here.

The number of follow-ups and sending cadence are agreed for the campaign and adjusted using the evidence. This illustrative sequence does not promise a conversion or a fixed time to results.

08

What we would need from you to make this real

The sequence above was built from your public website in an afternoon. A live campaign runs on better inputs than that, and all of them come from you.

  • The offer. What a first reply actually gets someone. This is the single highest-leverage input and it is the one we cannot guess.
  • The proof inventory. Named clients, real outcomes, actual numbers you are willing to stand behind. Every one you give us is a claim the writer is permitted to make. Everything you withhold, it writes around.
  • The guardrails. Claims your compliance side will not allow, and the standards you are comfortable naming.
  • Voice samples. Two or three emails your team has actually sent and been happy with.
  • The ICP. Facility size, geography, certification profile, and the titles worth writing to. The tighter this is, the less of your budget goes to companies that were never going to buy.
  • The niche sources. Which registries, filings, and public datasets tell us a food-distribution facility is about to have a sanitation problem. You know these better than we do. We build them into the engine.

The audience and the available evidence shape the message. We check the sources and sample prospects with you before building the campaign, then use actual responses to improve it.
